Job Description
We currently have an opportunity for a Firm Administrator with a law firm located in the Paramus, NJ area (zip code 07652)
Position responsibilities are:
Financial Management:
- Develop the firm's operating budget and conduct cost analysis
- Monitor cash flow
- Control all attorney trust account deposits, checks, ledgers and bank statements
-Prepare the year end partners compensation reports in conjunction with the firm's CPA
-Prepare schedules recommended by the Firm's CPA for preparation of financial statements and tax returns
- Oversee the payroll process
- Prepare information needed for monthly productivity and comp. reports
Office Management:
- Oversee the selection and management of records management systems
- Supervise records and purging of data as well as offsite storage system
- Manage inventory office supplies
- Supervise facility management
- Manage automated time and attendance program
- Oversee purchasing of office equipment and negotiate purchase agreements
Personnel Management:
- Execute the recruiting process for legal support staff including creating job postings, screening resumes, and onboarding new hires
- Manage the performance management and compensation process
- Conduct employee investigations and conduct employee terminations as needed
- Administer the Benefits Program as well as the Health and Fitness and Cell phone reimbursement programs
- Update and implement written policies and procedures
- Maintain and update the firm's personnel manual as needed and well as the firm member, vacation calendar and emergency contact lists
- Manage the firm 401K Program
Technology:
- Work with the firm's partners to develop the technology plan
- Partner with the firm's outside consultant on to research technology alternative and select and install hardware/software including system upgrades
- Handle in-house computer issues and conduct training as needed
- Review web email
- Document technology policies and procedures
Communication:
- Schedule and plan attorney/staff luncheons as well as employee events
- Create and maintain firm events calendar
- Attend Partner meetings regarding administrative matters
- Review all firm marketing communications including websites, publications and website updates
- Supervise the firm's voice mail system and VOIP software
Position requirements are:
- At least 7-10 years of related experience as a Firm Administrator in a law firm or CPA Firm, including budgets and trust accounts
- Excellent organizational skills and attention to detail with demonstrated ability to multi-task
- Excellent communication skills
- Strong technical skills - Proficiency in MS Office
