We are seeking an experienced New Business Intake and Conflicts Coordinator to join our team. This role is responsible for performing conflict searches, obtaining clearance of conflicts, updating the conflict database, and processing new client and matter opening requests. The position requires extensive interaction with attorneys and support staff pertinent to new matter setup and processes.
Responsibilities
- Generate conflicts reports using the firm's conflicts database
- Review, analyze, and interpret conflict reports as part of the conflicts analysis process pursuant to the rules of professional conduct
- Request and record necessary conflicts resolution documentation, including conflicts waivers or engagement letters
- Provide comprehensive support regarding the New Business Intake (NBI) process
- Review new client and new matter information submitted via the firm's intake process
- Confirm accuracy of all client/matter information
- Ensure terms of engagement are properly applied to all client engagements
- Track and record exceptions to standard terms of engagement
- Generate new client matter numbers and maintain client and matter data
- Communicate effectively with all appropriate parties (supervisors, attorneys, clients)
- Contribute to process, procedure, and technology improvements
- Escalate problems in a timely manner
- Maintain records of new case information and supporting documentation
- Assist with other Billing Department support as needed
- Law firm experience in a business intake or conflict capacity is desirable
- Experience with 3E, Elite Enterprise accounting system preferred
- Strong attention to detail and high level of accuracy
- Outstanding written and oral communication skills
- Strong organizational skills and ability to prioritize matters
- Ability to handle large volume of client matters
- Proficiency in Microsoft Office (Word, Outlook, Excel)
- High school diploma at minimum
- Motivation and flexibility to work extra hours as needed
- Competitive salary in the $80,000-$85,000 range
